Warehouses & Locations

In Homwe, a warehouse is one kind of location. A location is any place that holds stock or does business: a warehouse, shop, depot, office, kiosk, and so on. Stock levels are kept separately for each location.

  • Workspace → Locations: set up locations and see their stock.
  • Inventory → Stock Takes: count physical stock.
  • Inventory → Stock Transfers: move stock between locations.
  • Workspace → Devices: all POS devices across your locations.
  1. Go to Workspace → Locations and click + New.
  2. Fill in:
    • Name (required), e.g. “Main Warehouse”.
    • Code (required), a short unique identifier, e.g. MAIN.
    • Type: Warehouse, Outlet, Garage, Depot, Department, Office, Station, Kiosk, Store, Virtual, Mall, or Centre. The type is a label only and doesn’t change how the location works.
    • Parent location (optional): place this location inside another one, e.g. a storeroom inside a shop. The list shows locations as an expandable tree.
    • Status: Active or Inactive.
  3. Click Create.

Codes are case-sensitive, up to 50 characters, and can’t reuse the code of any location, inactive ones included. A location can’t sit inside itself or inside one of its own sub-locations.

Locations can’t be deleted. Set a location to Inactive to hide it from the catalog filter, new stock takes, and transfers while keeping its history.

Each location’s stock is shown separately.

Open a location and go to the Stock tab. For each product you’ll see On hand, Reorder at, and a status:

  • OK (green): stock is above the reorder level.
  • Low (orange): stock is at or below the reorder level.

Set the reorder level to 0 to turn off the low-stock flag for that product.

Action What it does
+ Set stock level Start tracking a product here by entering its current quantity and reorder level.
Edit Change the quantity or reorder level the same way.
Adjust Record a gain or loss, e.g. -5 for damaged goods. You must give a reason. This is recorded in the stock movement history and in your books.
Transfer Start a stock transfer from this location.

Only products marked Track as inventory can be stocked. See Products.

The Stock movement history below the stock table lists every change, with its type (Sale, Purchase, Adjustment, Transfer, Stock take, or Job card usage) and a link to the source document.

  • Devices: point-of-sale terminals at this location. A new device shows a pairing code that refreshes every 30 seconds.
  • Operators: people who use the POS devices here. Each operator gets a PIN, shown only once. You can reset PINs and deactivate or reactivate operators.
  • Users: which users are assigned to this location.
  • Audit Trail: who changed what.
  • Posting a sales invoice or receipt reduces stock.
  • Posting a purchase invoice or receipt increases stock and updates the average cost.
  • Adjustments, stock takes, transfers, and job card materials also move stock.
  1. Go to Inventory → Stock Takes, click New stock take, pick a location, and click Start. Homwe records what the system thinks is on hand.
  2. For each product, click Record count and enter what you physically counted. The Variance column shows the difference.
  3. When you’re done, click Complete. Each counted item’s difference is recorded in the stock movement history and your books. Items you didn’t count stay as they are.

You can Cancel an open stock take instead. Nothing changes in stock or your books, but the counts are kept for the record.

Stock takes are Open, Completed, or Cancelled.

  1. Go to Inventory → Stock Transfers and click + New transfer.
  2. Pick the Product, From location, To location, and Quantity, and add a note if you like.
  3. Click Dispatch. The stock leaves the source location straight away.

The transfer stays Pending until the receiving location acts on it:

  • Accept: enter the quantity received. If it’s less than was sent, the shortfall is written off as a loss at the source.
  • Reject: the full quantity goes back to the source.
  • The sender can Cancel a transfer while it’s still pending.

Check the list for any transfers that haven’t been accepted yet.

You can also transfer to a related organisation (a parent, child, or sibling) if both use the same default currency. Tick Transfer to another organisation on the form. Each side needs cross-organisation transfer permission in its own organisation. If the receiving organisation doesn’t have the product yet, it’s added to their catalog automatically when they accept.

Permissions are given through access levels. Owners and Admins have all of them.
