Customers

Customers are the people and businesses you sell to. Every sales quotation, order, invoice, and receipt is addressed to a customer.

Go to Workspace → Business Entities. Customers and vendors share this page. To see only customers, set the type filter to Customer.

The list shows each customer’s Name, Type, and default Currency. It’s sorted A to Z, 20 at a time. Click Load more to see the rest.

  1. Click + New.
  2. Set Type to Customer. You can’t change the type after you save. If a business is also your supplier, add it as a vendor too.
  3. Enter the Name. This is the only required field. Names can be up to 255 characters.
  4. Optionally choose:
    • Default Currency: new documents for this customer start in this currency.
    • Price list: the price list used to fill in prices on this customer’s documents. Leave it as Default to use your organisation’s default list.
  5. Click Create.

To change a customer, click Edit from the row’s … menu or on the customer’s page.

Click a customer to open their page. It has these tabs:

  • Details: their type, default currency, and price list, with an Edit button.

  • Settings: change how documents look for this customer only. Each section has an Override organisation … switch. While it’s off, the customer uses your organisation’s document settings.

    • Document Header: logo, address, letterhead text, and layout.
    • Document Date Defaults: a different payment period, from 0 to 365 days.
    • Reference Numbering: a separate numbering sequence and prefix for this customer’s quotations, orders, invoices, and receipts.

Turning an override switch on or off takes effect straight away. Other changes need Save changes.

  • Banks: the customer’s bank accounts or crypto wallets. Bank accounts need a bank name, account name, account number, and currency. Wallets need a label, network, asset, and address. Only the last 4 digits of each number are shown in the list.

  • Audit Trail: who created or changed this customer.

Tick one or more customers in the list, click the red trash icon, and confirm.

If you select several customers and even one of them can’t be deleted, none are deleted. Remove that customer from your selection and try again.
