Orders
An order records what a customer has agreed to buy (sales order) or what you’ve asked a supplier for (purchase order). Orders are planning documents. They never post to your books and don’t change stock.
Where to find it
Section titled “Where to find it”- Sales → Orders
- Purchases → Orders
Both menus also have Quotations. Quotations work exactly like orders and come before them.
Create an order
Section titled “Create an order”- Click + New Sales Order (or + New Purchase Order).
- Fill in the Entity, Currency, Issue date and Due date, plus an optional Subject and Footer. Leave Doc number blank to number it automatically.
- Add line items. Picking a product fills in its description, tax rate, unit, and price from the customer’s price list.
- Click Create.
Totals are calculated the same way as on invoices.
From quotation to order to invoice
Section titled “From quotation to order to invoice”Documents follow this chain, separately for sales and for purchases:
Quotation → Order → Invoice
| Document | Can link to |
|---|---|
| Quotation | Orders |
| Order | Quotations and invoices |
| Invoice | Orders and receipts |
| Receipt | Invoices |
Sales documents never link to purchase documents.
Each document has a Linked documents section. Use the Link buttons there to connect an order to the quotation it came from, or to the invoices that bill it. The picker only shows documents for the same customer or vendor. One order can link to several invoices, and one invoice can cover several orders.
Job cards (sales orders only)
Section titled “Job cards (sales orders only)”Sales orders have a Job Cards (n) tab. Click + New Job Card there to create a work order for the job, already linked to this order. You can track it under Operations → Job Cards. Job cards move through Draft, Pending, In Progress, and Completed, or they can be Cancelled. Materials recorded on a job card come out of stock only when the job card is completed.
Other actions
Section titled “Other actions”- Download PDF from the Actions menu.
- The Audit Trail tab shows the order’s change history.
