Access Levels & Permissions
An access level is a named set of permissions, such as “Accountant” or “Store Manager”. You give an access level to a user, or to a group of users, and they can do exactly what it allows.
Who access levels apply to
Section titled “Who access levels apply to”- Owners and Admins can always do everything. Access levels don’t limit them.
- Employees and Collaborators can only do what their access level, or their groups’ access levels, allow.
Where to find it
Section titled “Where to find it”- Security → Access Levels: create and edit access levels.
- Security → Groups: share an access level across a team.
Create an access level
Section titled “Create an access level”New organisations don’t have any access levels, so you’ll need to create your own.
- Click New.
- Enter a Name, e.g. “Accountant”. Each name must be unique.
- Tick the permissions you want. Use the search box, or Select all / Clear for a whole area.
- Click Create.
Some permissions depend on others. For example, you can’t manage accounts without being able to list them. Ticking a permission ticks the ones it needs, and unticking one unticks the permissions that depend on it.
Changes to an access level apply to everyone who has it. People who are already signed in may need to refresh the page to see the change.
Give an access level to people
Section titled “Give an access level to people”One person: open them in Security → Users, click Edit next to Access level, and choose one. See Users.
A team, using groups:
- Go to Security → Groups and click New.
- Enter a Name, e.g. “Finance”, and choose an Access level.
- Open the Members tab and click Add member. You can only add people who have already joined. People with a pending invitation won’t appear.
Deleting a group can’t be undone. Its members lose the permissions they got from it, and any groups inside it move to the top level.
When someone has more than one
Section titled “When someone has more than one”- A personal access level always wins. If someone has their own access level, their groups’ access levels are ignored.
- With no personal level, a person in several groups gets every permission from all their groups combined.
- Groups can sit inside other groups to keep things organised, but a parent group’s access level is not passed down to members of the groups inside it.
Approving documents
Section titled “Approving documents”People with Decide Approvals see Operations → Approvals, which has two tabs:
- Waiting on me: requests you need to decide on. Click Approve (you can add a note) or Reject. You must give a reason to reject. Approving the last step posts the document automatically.
- My requests: requests you’ve submitted. You can Cancel one while it’s still pending.
You can’t approve your own request.
